School Office Administrator

An-Noor Academy, an Islamic school in Piscataway, NJ, seeks a skilled individual that engages daily in direct contact with administrators, students, parents/guardians, community members, and instructional staff in a positive and professional manner. Utilizes computer software and phone systems, and handles daily work pressures requiring constant concentration to a high volume of clerical work which must be completed within a limited period of time with constant interruptions. Strong communication, interpersonal, task prioritizing, and organizational skills required.

ABOUT AN-NOOR ACADEMY

An-Noor Academy is a vibrant educational institution of academic and character learning, established in 2000. The school serves about 400 students from Pre-School to 12th grade and is well positioned to grow further.

RESPONSIBILITIES

  • Maintenance of confidential student records

  • Direct contact with students, parents/guardians, and instructional staff

  • Responsible for implementing and maintaining all office and school recordkeeping systems

  • Prepares, creates, and composes letters, reports, bulletins, and other documents for the school or instructional programs; answers routine correspondence for the administrator; prepares documents from rough draft, notes, recordings, or oral instructions; prepares reports from confidential records

  • Operates computer and standard office equipment; may provide technical support to staff.

  • Perform personnel management functions including managing employee time and attendance by tracking daily absences, entering time and attendance into the system.

  • Acts as liaison between the school site and the general public by researching and conveying information concerning rules, regulations, policies, and laws

  • Greets and directs visitors; addresses standard inquiries by letter, phone, e-mail, fax or personal contact

  • Maintains internal communication system insuring instructional, and support personnel are kept informed of needed information

  • Interacts with and assists students and parents/guardians by explaining and enforcing school site requirements

  • Ensures that appropriate calendars of activities are maintained for the school

  • Responsible for handling all incoming admissions inquiries and converting them into registered students.

  • Finalize brochures, programs, newsletters and agendas for events.

  • Administrator and other staff in planning and preparing for staff meetings

  • Assists in the development of office procedures and ensure appropriate security and safety methods are employed by the office

  • Work closely with management to develop effective marketing strategies.

  • Oversee and approve expenses for programs, trips, events and materials at the school level.

  • Supervise, train and direct work flow of junior level office staff.

  • Coordinate with staff to plan and organize school trips and activities.

  • Organize and store paperwork, documents, and computer-based information.

  • Performs other related duties as assigned

 

KNOWLEDGE, SKILLS, AND ABILITIES

  • BA / BS degree

  • Proficiency utilizing computers and related technology

  • Knowledge of office management systems and procedures

  • Proven experience in an administrative support role

  • Ability to handle confidential and sensitive information with a high degree of professionalism

  • Excellent attendance, punctuality, time management, and flexibility are essential.

  • Excellent time management skills and the ability to prioritize work

  • Attention to detail and problem-solving skills

  • Excellent written and verbal communication skills

  • Strong organizational skills with the ability to multi-task
